Knowledge Bases
A knowledge base is a set of documents an agent can search. Upload the handbook, the price list, the contracts, the scanned forms — and an agent with the Knowledge Base tool finds the matching pages when it needs them, seeing both the text and a screenshot of each page, so tables, charts and scanned pages come through intact.
Knowledge bases belong to your organization, not to one agent: every agent that has the Knowledge Base tool can search all of them. Manage them from any agent's Settings → Knowledge Bases.
Who can do what
| Task | Any member | Admin |
|---|---|---|
| Ask an agent questions answered from a knowledge base | ✅ | ✅ |
| See knowledge bases and their documents | ✅ | ✅ |
| Create a knowledge base, upload or delete documents | ✅ | ✅ |
| Delete a knowledge base | only ones you created | ✅ |
Everyone in the organization can see every knowledge base (they are shared, not per-agent). Editing controls appear in the settings of an agent you can edit; from an agent you can only view, the section is read-only. Deleting a knowledge base removes it — and its documents — for every agent in the organization, which is why only the person who created it or an admin can, and the Delete button only appears where that's you.
Adding documents
Open Settings → Knowledge Bases on any agent, expand a knowledge base, and choose Upload files. You can pick several at once.
Supported: PDF, Word, PowerPoint, Excel and CSV, images (PNG, JPEG, WebP), plain text and Markdown. Anything else is kept in the list as Unsupported so you can see it arrived, but it is never indexed.
A document you upload twice is recognised by its content and not stored again.
Statuses
| Status | Meaning |
|---|---|
| Queued / Indexing | The document is being read, page by page. The list refreshes on its own; Indexing 7/40 is progress in pages. |
| Ready | Indexed and searchable. |
| Failed | Indexing gave up — hover the status for the reason. Fix the file and upload it again, or use Re-index to retry. |
| Unsupported | A file type the knowledge base can't read. |
Large documents can take a few minutes. An agent can still search while a document is indexing; it simply won't see that document's pages yet.
Giving an agent access
Attach the Knowledge Base bundle in the agent's Settings → Bundles. The agent can then create knowledge bases, upload files from its workspace or from attachments you give it, and search — you can also tell it which knowledge base to use, by name, in its instructions.
What the agent sees
A search returns the best-matching pages (at most one hit per page, from any number of documents), each with a text snippet and, for the top hits, the page screenshot. The agent can ask for any page in full, and can produce a short-lived download link for the original file.
